The Fine Print

The following Terms and Conditions apply to all trips unless otherwise specified.  

Registration, Deposits, and Final Payment. For all trips, a deposit per person per trip, payable by check, money order, wire transfer, or major credit card is required at the time of booking to secure confirmation. Final payment including any extension(s) is due at least 90 days prior to the scheduled trip departure date. If your reservation is made less than 90 days prior to departure, the entire cost of the trip is due at the time of registration by check, money order, wire transfer, or major credit card.

Cost Includes. All accommodations, meals, receptions, activities, transport and incidental expenses as noted in the itinerary. Specifically: Double occupancy accommodations unless Single Supplement included. Meals and receptions as noted in the itinerary: breakfasts, lunches, snacks, dinners, refreshments and receptions. Accommodations while on trip. Special events, private tours, guest experts and entrance fees. Fully trained, first-aid certified, professional guides and knowledgeable local partners. Safe and well maintained equipment, as required and agreed upon.Vehicle support, land, air and boat transportation during the trip. Iconic Adventures water bottle, luggage tags and luggage service. Pre-departure and packing information. Incidental expenses such as taxes, dining and housekeeping gratuities, local partner and expert gratuities and national park entrance fees.

Not Included. Alcoholic beverages (unless stated) and related gratuities on the guest’s own time. Pre-and post-trip accommodations and associated expenses. Air and land transportation to/from host cities. All types of personal insurance. Personal expenses.

Cancellations and Refunds. The following cancellation policies and cancellation fees are in effect:

• Cancellation 91 days or more before trip departure: Full trip payment less $250 of the deposit is refunded.
• Cancellation 61 to 90 days before trip departure: Full trip payment less the $500 of the deposit is refunded.
• Cancellation 60 to 31 days before trip departure: 50% of the trip payment is refunded.
• Cancellation 0 to 30 days: No refund is given.

Cancelled Programs. Iconic reserves the right to cancel any trip prior to departure for any reason whatsoever, including insufficient participation or logistical problems that may impede program operations. A refund of all program price payments received shall release Iconic from any further liability. A program with insufficient participation would normally be cancelled a minimum of 90 days prior to departure. If a trip is cancelled due to force major (e.g. acts of God, war, labor strikes, earthquake, flooding, etc.) Iconic will promptly refund the portion of the trip price not already advanced to suppliers and use its best efforts to recover and refund the balance as promptly as possible. However, Iconic does not guarantee recovery of any or all of the advance payments made, and its use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions outside of Colorado. Iconic is not responsible for any expenses incurred by program participants in preparing for a cancelled program (e.g. non-refundable advance purchase air tickets, hotel or rental car reservations, visa fees, medical expenses, equipment, etc.) or for any additional arrangements should the program participant have embarked prior to the scheduled group departure date.

Itineraries. Accommodations and arranged excursions are subject to change at any time due to unforeseen circumstances or circumstances beyond Iconic’s control. Every effort will be made to operate trips as planned, but alterations may occur after the final itinerary has been issued. Iconic reserves the right to withdraw a trip or any part of it, to make such alterations to the itinerary or trip inclusions, as it deems necessary or desirable for reasons of safety, security or any other reason.

Arbitration. Any controversy or claim arising out of or relating to any services or products offered or obtained through Iconic, including without limitation any claim related to bodily injury, death or property damage, shall be settled by binding arbitration in Colorado in accordance with the rules of the American Arbitration Association then existing, and judgment on the arbitration award may be entered in any court having jurisdiction over the subject matter of the controversy.

Responsibility. Neither Iconic Adventures nor any person or agent acting for, through or on behalf of Iconic shall be liable for any loss or damage whatsoever arising from any cause whatsoever and without restricting the generality of the aforegoing shall particularly not be responsible for loss or damage arising from any errors or omissions contained in its brochure or other literature, loss or damage caused by delays, sickness, injury or death. Iconic may at its discretion and without liability or cost to itself at any time cancel or terminate the guest’s booking and in particular without limiting the generality of the aforegoing it shall be entitled to do so in the event of the illness or the illegal or incompatible behavior of the guest, who shall in such circumstances not be entitled to any refund. A person making any booking will, by the making of such booking, warrant that he or she has authority to enter into a contract on behalf of the other person included in such a booking and in the event of the failure of any or all of the other persons so included to make payment, the person making the booking shall by his/her signature thereof assume personal liability for the total price of all bookings made by him/her.
